The hall plan is the floor plan of an exhibition hall showing all stands, aisles, entrances and service areas. It shows where your stand is and how visitors get there.
The organiser draws up a plan for each hall on which every stand is marked with its stand number and usually the exhibitor's name. It also shows aisles, entrances, emergency exits, stairs, stages, catering and service areas. A site plan additionally shows how the halls connect with one another.
Hall plans are available as PDFs, on the fair's website and often in the show app, sometimes with a search function and route guidance. Until shortly before the show the plans can still change when space is reallocated.
Take a close look at the hall plan as early as the stand allocation. Where are the entrances and main aisles, where are the stages and catering, and who are your neighbours? These points affect how many visitors pass your stand (booth) and from which direction. Columns and emergency exits right next to the stand are also marked on the plan and affect how you can design the space.
Use the plan in your communication too. A section with your stand marked helps customers find you quickly when you add it to invitations and appointment confirmations. Pass the hall, stand number and nearest entrance on to everyone who works for you: stand builder, logistics, catering and your photo and video crew.
For filming, the plan tells you where your stand can be seen well from. Wide aisles and open sides later give the best wide shots.
Before we travel to a job, we look at the hall plan. We plan the route from the entrance to the stand so that the crew is ready before the doors open, and we work out from which aisles the overview shots can be taken. If we cover several stands in different halls on one day, we factor in the walking time. For exhibitors from abroad who arrive shortly before the show, we agree the meeting point in advance by WhatsApp or email.
