A day rate is a price for one full working day of a photographer, videographer or crew. It is often billed together with other items.
With a day rate, the time on site is charged, usually for a fixed number of hours. Half days are often offered as a half-day rate. Anything beyond that, such as photo editing, video editing, usage rights, equipment, travel or overtime, is shown separately or not at all, depending on the provider.
Day rates are widespread in film and photography, especially among freelance photographers and for productions whose scope is hard to estimate in advance. A day rate therefore describes the effort rather than the result. For the client, that means the final price is only known when the last invoice arrives.
For exhibitors a day rate on its own is not a good basis for comparison. Two quotes with similar day rates can end up costing very different amounts if one charges editing and usage rights extra and the other does not. So always ask for the total price for the result you need.
Clarify how many hours a day covers, what happens if it runs over, how many edited photos and which videos will be delivered, when delivery takes place and which rights you receive. For several show days, ask whether the price per day changes and whether travel and accommodation are charged once or daily. If you have these points in writing beforehand, the final invoice holds no surprises. And ask whether one crew covers photo and video at the same time or whether that means two day rates.
At a trade fair a full day often means eight hours on the stand (booth), spread across setup before opening, peak visiting hours and an evening appointment. How that time is used depends on the briefing. A good shot list makes sure the hours go where most happens on the stand.
At Pixer we do not work with open day rates but with fixed-price packages. The Full Day package at €1,990 plus VAT covers eight hours, at least 120 photos, a 30-second and a 90-second video, interviews, three vertical clips, delivery within 24 hours, two revision rounds and unlimited usage rights.
