Booking a trade fair photographer: agency, freelancer or in-house?

There are three ways to get photos and video from your stand: an agency, a freelance photographer or your own team with a smartphone. Each has its place. This guide shows when each fits, where the risks are and what to ask before you book.

Three routes, one goal

In the end you need the same thing: usable photos and video from your stand (booth), on time and with clear rights. The routes differ mainly in three points. Who carries the risk if something fails on the show day? How fast is the material ready? And how much of your own team’s time goes into coordination?

A classic agency handles concept, organisation and often the stand build or campaign, and hires photographers for the shoot. A freelancer works alone or with an assistant and delivers directly. Your own team takes pictures between conversations. In between sit production companies: a small team on site, an editing team in the background, fixed packages instead of hourly billing.

If you are exhibiting in Germany from abroad, the question has an extra layer. Your agency at home may have no people in Germany, freelancers are hard to vet from a distance, and your stand team is busy enough in an unfamiliar market.

The agency: one point of contact

An agency makes sense when the show is part of a bigger campaign: a new brand message, stand concept, invitations, press work, follow-up. Then it helps if one party keeps the overview and also steers photo and video.

The downside is the chain. Between you and the person holding the camera there are often one or two contacts. Changes on the show day, such as an extra meeting with a key customer, take longer to pass on. And every link in the chain has to be paid. Ask who will actually shoot on the show day, and whether you can speak to that person beforehand.

Agencies based abroad usually hire someone locally for a German show anyway. Many work with specialised production companies for this; we also take on such jobs on behalf of the agency. See for agencies.

The freelancer: flexible, but no safety net

A good freelance photographer can deliver excellent work, directly and without detours. For a single show day in their own city, that is often a sensible choice. It gets critical in three places:

If you are a foreign company, also check the paperwork: is the invoice issued correctly for your country, and are the usage rights written down?

Your own team: close to the product, but distracted

Smartphones take good pictures, and nobody knows your products better than your stand team. For quick Stories during the day, that is ideal. As the only source of show content, though, it has a cost that no quote shows: every minute behind the camera is a minute missing from a conversation with a visitor.

Your team also rarely appears in its own pictures. Yet the photos you will need most later show your people talking to customers. Nobody can take those while they are in the conversation themselves. Mixed light, dark halls and LED walls also push a smartphone to its limits faster than a professional camera.

Some exhibitors bring their own photographer from home. That means flights, a hotel in show week, equipment in the luggage and someone who does not know the hall. Which route fits depends less on budget than on how much steering you want to do yourself and how important a fixed delivery date is.

Questions to ask any provider

  1. Who will be on site on the show day, and can I speak to that person beforehand?
  2. What happens if that person drops out?
  3. Are photo and video handled by different people?
  4. When will the edited photos and the video be ready?
  5. Which usage rights are included, and are they in the quote?
  6. How are travel, invoicing and payment handled for a company from abroad?
  7. Can I see examples from comparable shows?

Common questions

Is a freelancer cheaper than an agency?

Often on the fee, because there is no agency work on top. But compare the result: delivery time, editing, video, rights and travel. Only then do you see which is really cheaper.

Is a smartphone good enough for trade fair photos?

For Stories during the day, yes. For your website, press work, sales and catalogues you need images that hold up in dark halls and large formats, and your team should be in the pictures.

Can one photographer film at the same time?

Technically yes, in practice one of the two suffers. If you need photo and video on the same day, clarify who captures what and when.

Do you work on behalf of agencies?

Yes, including in the agency’s name. Brief and coordination then run through the agency, and on the show day our team reports to the agency’s project lead.

How early should we book, whichever route we choose?

As soon as your stand and show days are confirmed. Outside North Rhine-Westphalia, four to six weeks ahead is a good guide, so travel can be planned.

What works best for exhibitors from abroad?

Usually a local team that speaks English, knows the venues and delivers before you fly home. Non-EU companies are invoiced without German VAT, EU companies under reverse charge.
