Stand rental is the fee the organiser charges for the stand space you book. It is usually charged per square metre and depends, among other things, on the type of stand.
Stand rental is the price of the bare floor space at the venue. The organiser sets it in the terms of participation, usually as an amount per square metre. The rate depends on the fair and often on the number of open sides: corner, peninsula and island stands often carry a surcharge compared with a row stand.
As a rule, stand rental covers only the space, not the structure built on it. Some organisers also offer complete stands, where the space and a system stand are charged together. What exactly is included is set out in the terms of participation.
Stand rental is often the first big item in a trade fair budget, but rarely the only one. Depending on the fair, there are mandatory fees, for example for media or marketing services, plus stand construction, power, internet, cleaning, passes, travel and staff. If you only compare prices per square metre, it is easy to underestimate the total cost.
Before you register, check the deadlines, the cancellation terms and whether early booking conditions apply. Think about how much space you really need: a smaller, well-planned stand (booth) in a good location often achieves more than a large area in a quiet corner.
Also think beyond the show days. You rent the space for a few days. You use the photos and videos of your stand afterwards in sales, on social media and when planning your next participation.
